The role

The Operations Coordinator will help manage business logistics to ensure our organization runs smoothly. This person will work closely with the operations and leadership teams to address resource management, strategically planning initiatives to ensure the company is adequately staffed and efficiently operating. The ideal candidate is exceptionally detail-oriented and organized, able to handle a fast-paced environment and pivot between critical administrative tasks. 

Goals / remit

  • Work with managers to learn of departmental needs and goals
  • Deliver reports to internal stakeholders that provide insight into the overall efficiency of the organization
  • Observe, review and analyze processes to identify inefficiencies and areas where improvements could be made
  • Design, document and maintain clear operational guides to ensure consistency of operations
  • Organize and audit business expenses, spending and usage, including expense reports and budgeting
  • Assist in the process of Accounts Payable (A/P) and Accounts Receivable (A/R) and prepare weekly bank & account reconciliations
  • Support onboarding and training of new employees through training material development and maintenance
  • Oversee daily operations of the office space and equipment; monitor supply stock and manage building vendors for repairs/improvements with regard to budget and best practices
  • Be the point of contact for office visitors; organize meetings and schedule appointments
  • Organize and schedule company-wide extracurricular activities

Requirements

  • Bachelor’s Degree in Business, Finance, Management or related field
  • 1+ year of experience in internship or industry related field (this is an entry level role)
  • Proven time management, prioritization and multitasking abilities
  • Excellent interpersonal skills to build strong relationships with team member and vendors
  • Effective communication, including speaking, writing and active listening
  • Strong data processing skills; proficient in Excel
  • Understanding of budget and financial management
  • Great strategic planning and problem-solving skills
  • Methodical about analyzing processes and systems to fully understand their functions
  • Proactive research skills used in seeking out opportunities to advance and improve the organization
  • Strong project management skills
  • Experience with QuickBooks or comparable accounting software a plus
